Terms & Conditions Of Hire

 

Section 1. Hire Charges

1. The required deposit must be paid before a booking will be accepted.
2. Any balance due must be paid one Month prior to the date of the hiring.
3. For bookings accepted within one month prior to the date of hiring the full cost of hire plus the refundable deposit must be forwarded with the booking form.
4. The tariffs shown on the booking form may be subject to discount under circumstances deemed suitable by the committee. Application for discount must be made in writing and accompany the hire form.
5. In the event of a cancellation any deposit paid will be forfeited.
6. In the event of a cancellation four weeks or less prior to the function date the deposit plus half the hire fee paid will be forfeited.
7. Where a deposit is to be forfeit under Section 3 or Section 4 of these conditions the committee will inform the hirer of the reasons in writing. The decision of the committee in this matter is final.

Section 2. Security

8. The hirer will be responsible for the behavior of all persons attending the Centre at the time of hiring.
9. The hirer will be responsible for the security of the building during an event and for ensuring the building is secured before leaving, unless otherwise agreed with the committee.
10. Following evening functions the bar staff may undertake to secure the building on your behalf. This should be agreed with the bar manager before you leave.
11. Loaned keys must be returned by 10.00 am on the morning after a function or otherwise by agreement.

Section 3. Damages

15. The hirer will be responsible for any damages caused to the Centre or its fixtures, fittings and equipment by persons attending during the period of hire.
16. All damages must be reported to the bar staff or on returning the keys.
17. The committee reserve the right to withhold any deposit paid in the event of unacceptable damages or excessive glass breakage.
18. The hirer will be liable for additional payment for repairs or replacement arising from any unacceptable damage, the costs of which exceed the deposit paid.

Section 4. Cleaning

19. Regardless of the circumstances any vomit left for the centre staff to deal with during or following a hiring will result in the forfeiture of the full deposit.
20. In all cases kitchen equipment, crockery and cutlery used must be washed, dried and returned to the store cupboards.
21. The fridge and freezer must be cleared of food and liquids.
22. Banners, posters, balloons and other such items must be removed from walls etc.
23. Tables should be cleared, debris picked up from floors and all rubbish placed in bin bags for disposal.
24. The cleaning fee will apply to ALL functions requiring use of the bar facilities unless otherwise agreed with the secretary.
25. For hourly charged groups or functions where the cleaning fee has NOT been paid the following must be observed: All area’s in and around the centre must be left clean and tidy (as found), including toilets and entrance hall. Tables must be wiped down and chairs stacked (maximum 10 per stack) before being returned to the place of storage. Kitchen sides must be wiped down and the sink cleaned. All floors must be swept and all rubbish collected and deposited by the waste bins outside the centre.

Section 5. Storage / use of equipment

26. Equipment is stored or used at the owners risk and must be suitably insured. The Management Committee will not be responsible for any damage or loss arising during storage or use of equipment within the centre.

Section 6. External Entertainers

27. External entertainers engaged by the hirer must provide evidence of Public Liability Insurance to the secretary prior to the event.

Section 7. Legal Requirements

28. Wye Road Community Centre is an enclosed public space and as such it is against the law for any persons to smoke in the confines of the building including the entrance porch. Any persons found smoking on the premises will be asked to leave.
29. Wye Road Community Centre is a licensed premises and as such must comply with current licensing laws. In consequence no alcoholic beverages are to be brought onto the premises for consumption (other than a toast which must be with the permission of the premises licence holder).
30. Persons found to be consuming alcoholic beverages not purchased from the bar or unauthorized by the licensee will be asked to leave. All such alcohol will be confiscated.
31. No one under the age of 18 years is to consume alcohol (other than a toast) on the premises.
32. Persons found supplying anyone under the age of 18 with alcohol will be asked to leave.
33. No one under the age of 18 is allowed to attempt to purchase alcohol from the bar.
34. The bar staff will refuse to serve alcohol to anyone who appears to be under 21 years old where written proof of age can not be supplied.
35. All music or entertainment must be ended by 12.00 midnight Monday to Saturday and 11.00 pm Sunday.
36. The bar staff reserve the right to close the bar and clear the building in the event of serious disorder, drug taking, persistent disregard of the no smoking laws or persistent attempts by adults or juveniles to break the licensing laws.

Section 8 Additional Terms and Conditions of Hire for Juvenile Events

37 A competent adult must be in attendance at all times and will be responsible for the behavior of young persons and juveniles attending the centre.
38. For juvenile parties held during evening times the main entrance door must be controlled by a responsible adult for the period during which the hall is occupied. Juveniles should remain within the building other than when arriving or leaving. This is to minimize disruption to our neighbours.
